The EPFO employer login is the gateway to the unified employer portal, where an establishment registers employees, files the monthly ECR, pays PF dues and approves member requests. It is separate from the member portal; employees cannot use it, and an employer's credentials do not open any member account.
This guide is written for HR and payroll staff of small and medium firms, and for employees who want to check whether their employer is depositing PF. It keeps to the tasks done every month and leaves out rare filings.

Who uses the unified portal employer login
Every establishment covered under the EPF Act gets one account on the employer portal, tied to its establishment code. Typical users are the owner, an HR executive or an outside payroll consultant acting for the firm. The person who signs approvals must be an authorised signatory whose DSC or Aadhaar e-sign is registered on the portal.
Employees often search for a uan employer login or pf employer login hoping to see their own account. That is not possible. Members use their own UAN on the member portal. What an employee can do is look up the employer through the public search described below.
EPFO employer login steps
- Open unifiedportal-emp.epfindia.gov.in in a desktop browser. Type the address yourself; do not use links from messages.
- Enter the establishment username and password, then the captcha.
- Click Sign In. The dashboard shows the establishment name, code and pending items.
- Before the first approval, register the authorised signatory's DSC or e-sign under the establishment menu.
A forgotten password is reset from the login page with OTP to the registered mobile or email of the establishment. If the registered contact person has left, the establishment updates it through its PF office. Change the password whenever a person with access leaves.
Registering new joiners
Under current EPFO rules, a new employee generates and activates the UAN on the UMANG app with Aadhaar face authentication. They share the UAN card with you at joining. You then link it to your establishment:
- Open Member, then Register Individual.
- Enter the UAN, date of joining and wages, and verify details pulled from the UAN.
- Approve with DSC or e-sign. A new member ID is created under that UAN for your firm.
If a joiner cannot complete face authentication, the employer portal still lets you generate a UAN for them as a fallback. Do this within the first month so the member appears on your first ECR. The what is UAN page explains how member IDs and UAN relate.
ECR and EPF challan payment
The Electronic Challan cum Return is a monthly text file listing each member's UAN, gross wages, EPF wages, EPS wages, NCP days and contributions. Uploading it creates the challan; paying the challan credits members.
- Prepare the ECR in the format given on the portal.
- Upload it under Payment and fix any row errors it reports.
- Verify the summary and prepare the challan.
- Pay online through internet banking of a bank listed on the payment page, and save the TRRN.
One employee with basic wages plus DA of Rs 15,000. Employee share 12 percent: Rs 1,800 to EPF. Employer share 12 percent: Rs 1,250 to EPS (8.33 percent, rounded) and Rs 550 to EPF. Total EPF credit for the month: 1,800 + 550 = Rs 2,350. Administrative and EDLI charges are added on the challan separately.
Due date is the 15th of the following month. Late deposit attracts interest at 12 percent a year under section 7Q and damages under section 14B.
Approving KYC and member requests
Some member requests still need the employer:
| Request | Employer role now |
|---|---|
| Aadhaar seeding | Usually verified directly with UIDAI |
| PAN | Approve under Member, KYC approval, with DSC or e-sign |
| Bank account | No employer approval; bank verifies |
| Profile correction, UAN from October 2017 with Aadhaar | Member corrects it alone |
| Profile correction, older UAN | Employer approves online |
| Joint declaration | Employer submits; EPFO officer verifies |
Check pending approvals weekly. A request left untouched holds up the employee's claim. Members can see what is waiting on the KYC page.
PF establishment search for employees and vendors
Anyone can run an epfo establishment search by name or code without logging in. Open the establishment search page, choose the name or code option, enter at least part of the firm name or its establishment code, solve the captcha and search. Results list matching establishments with code, address and office. Opening a result shows payment details, so an employee can see whether the firm has been paying month by month.
If deductions show on your salary slip but not in your EPF passbook, compare with the establishment's payment history, then raise it through the grievance route.
Common employer portal problems
| Problem | Why | Fix |
|---|---|---|
| DSC not detected | Driver or signer utility missing | Reinstall the signer from the portal and use a supported browser |
| ECR row rejected | UAN not linked to your establishment | Register the member first |
| Challan amount differs | Wage ceiling or NCP days entered wrongly | Recheck EPS wages and NCP column |
| Cannot approve KYC | Signatory not registered | Register DSC or e-sign of the authorised person |
Frequently asked questions
How to withdraw employer share in PF?
The employer never withdraws it. The employer share sits in the employee's own account, and the employee claims it with their own withdrawal. How much is allowed depends on the reason and the current rules; the withdrawal guide covers it.
Can I withdraw employer share in PF for illness?
Older rules limited an illness advance to the employee share with interest. EPFO's revised advance rules, as announced, count both employee and employer EPF shares. The EPS part is never available for advances, so check the claim screen and our withdrawal estimator before filing.
Can an employee log in to the employer portal?
No. It is only for establishments. Employees use their UAN on the member portal.
What is the PF establishment code?
It is the code in the middle of your PF member ID that identifies your employer. The member ID decoder splits it for you.
What if the ECR is filed late?
Interest and damages apply under sections 7Q and 14B of the Act. Members' credits are also delayed, so pay by the 15th.
Do employers still approve PF transfers?
Many transfers between Aadhaar verified accounts now go straight to EPFO without employer action. Some older cases still appear for approval on the employer portal.
